This is a full-time salaried role with medical benefits, paid time-off and holiday pay benefits. We offer a hybrid, coworking and flex office space environment. Galt offers a 4-day work week, Monday - Thursday (36 hrs.) and our office space is in the Atlanta - Cumberland Vinings vicinity.
Reporting to the Director, Medical Affairs & Scientific Communication, the Medical Affairs Coordinator will support day-to-day operational activities in Medical Affairs. The key responsibilities will include activities related to coordinating schedules and meetings, communications, supporting cross-functional projects, maintenance of SharePoint and TEAMS, and assisting with the onboarding of Medical Affairs Interns, Students, and employees.
As a member of the Team, you will work collaboratively on some of the company's most strategic, complex, and highly valued projects. Responsibilities:
- Contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards, and safety standards.
- Provides direct administrative support to the Director of Medical Affairs, Medical Affairs Consultants and Medical Affairs Team (coordinating meetings, events, and other gatherings, etc., as required).
- Schedules meetings and/or appointments (i.e., initial, follow-up, rescheduling of meetings and/or appointments), as required.
- Maintains and manages databases, spreadsheets, and other systems related to Medical Affairs activities.
- Supports planning and coordination of programs and its activities and ensures implementation of practices.
- Facilitates communication through appropriate methods between the Medical Affairs team, cross-functional departments, and external stakeholders, including healthcare professionals and Key Opinion Leaders (KOLs).
- Develops and maintains the communication platforms and tools for cross functional sharing and collaboration including managing of SharePoint, TEAMS, etc.
- Responsible for ad hoc projects including sharing of best practices, the development of templates, process mapping and other related projects.
- Assists with the development and maintenance of the Medical Affairs budget.
- Actively manages the document management process (marketing, legal, medical affairs, and regulatory) and maintains comprehensive trackers for active leases, contracts, NDAs, licenses, corporate documentation, and other documents, as necessary.
- Manages the traffic flow of materials through MLR(Medical, Legal, Regulatory) process to OPDP (Office of Prescription Drugs Promotion) submission.
- Maintains and manages Galt blogs and newsletters and other educational and continued education materials.
- Performs other duties as assigned.
Professional Skills:
- At least 2 years related experience preferred.
- Proficiency in Microsoft computer skills (Outlook, Word, Excel, PowerPoint). Advanced understanding of Excel is a required.
- Strong organizational, planning, and execution skills.
- Excellent written and verbal communication skills for interacting with franchisees and internal stakeholders.
- Ability to build and maintain strong relationships with franchisees and other partners.
- Ability to analyze market data, performance metrics, and project outcomes.
- Ability to identify and resolve issues that arise during the development process.
- Organized, proactive, professional, and have a strong sense of customer relation skills.
- Exceptional project management skills, attention to detail, ability to prioritize multiple projects, strong work ethic, positive attitude, and an entrepreneurial spirit.
- Ability to maintain confidential information while being adaptable to learn and be trained on various applications and support implementation of new projects/systems.
- Ability to multitask between competing priorities.
- Quick learner, strong collaboration, and interpersonal skills.
- Organized self-starter, with an ability to prioritize time-sensitive assignments.
- Needs to be able to work in team or independently with minimal supervision.
- Outstanding interpersonal, verbal, and written communication skills.
- Understanding of systems and processes overall and specifically as it relates to administrative responsibilities assigned.
