Position Summary

The Human Resources Generalist I is primarily responsible for full cycle recruitment of all non-exempt, exempt, temporary and seasonal positions for all locations. This includes sourcing, attracting, interviewing, hiring, and onboarding employees. Maintains all regulatory and compliance files in accordance with state and federal regulations. Schedules and conducts New Hire Orientations and is responsible for all on-boarding new hires. Maintains electronic personnel files accurately and appropriately and contributes to the accomplishment of Human Resources practices and objectives that will provide an employee-oriented, high-performance culture that emphasizes empowerment, quality, productivity and standards, goal attainment, of a superior workforce.

Essential Functions and Duties

Recruiting and Employment - 80%
  • Devise and implement sourcing strategies to build pipelines of potential applicants, such as employer branding initiatives.
  • Organize and attend job fairs and recruitment events to build a strong candidate pipeline and complying with regulatory requirements.
  • Ensure the staffing needs of the company are being met, with a long-term talent strategy in mind, including support for the seasonal flu program.
  • Determine selection criteria for candidates by liaising with managers and other members of staff.
  • Coordinate with hiring managers to identify staffing needs in different areas and departments.
  • Uses the Recruiting Checklist to start each recruitment.
  • Initiates new recruitment process once the Personnel Requisition Form is received from VP of HR or HRBP. Make sure all required signatures are on the Personnel Requisition.
  • May set up a brief meeting with hiring manager to understand the role and position; salary range and department needs.
  • Adds position to Job Posting Log, Posts position internally and on affirmative action boards for locations, may post on LinkedIn for 5 days, Monster, or assign to Temp Agency if this is a temp to hire. May use a recruiter for direct hire if it is a hard to fill higher level position.
  • Creates a Job File with label and make sure all appropriate documents are in the Job File. Personnel Requisition, Job Description, copy of all Job Board postings for location, copy of internal posting, all resumes considered, all interview notes, including notes from hiring managers, etc.
  • Completes the EEO & AA Checklist for each candidate interviewed.
  • Must comply with the Company's Affirmative Action Plan posting appropriately on all job boards.
  • Manages the recruiting email resume inbox. Provides a first review of resumes. Sorts and reviews all resumes as they arrive on a daily basis. Notifies other recruiters of any viable candidates.
  • Maintains a filing system that retains qualified applications for four (4) years
  • Source applicants through online channels and professional networks and external agencies and recruiters as assigned.
  • Identify and refine down the most suitable talent from available candidate pool.
  • Ensures that all candidates complete the employment application prior to interview. Prints primary source verification (PSV) for all clinical pharmacists, pharmacy technicians, and nurses. MUST KEEP A COPY IN JOB FILE AND IN THE PERSONNEL FILE WITH NEW HIRE DOCUMENTS.
  • Conducts initial virtual or face to face interviews. Assesses each candidate using the Candidate Assessment Form and submits top 3-5 to hiring manager for interview.
  • Schedules interviews for hiring manager and additional interviews as needed.
  • Sends out the candidate offer letter packet as requested and tracks return. Secures all appropriate signatures.
  • Enters all pertinent information on Job Posting Log once offer has been accepted.
  • Enters all candidates on the appropriate AFFIRMATIVE ACTION Logs.
  • Sends out all "Thank you letters" to candidates considered and interviewed.
  • Passes the torch to the appropriate location for recruitments to continue the process. FedEx 2-day Job File with all interview notes to appropriate location.
  • Creates new hire orientation packets and benefit packets.
  • Conducts new-employee orientation for employees and temporary staff using power point presentation.
  • Enters new hire data into HRIS system, create benefit enrollment window, ensure benefits are pushed to payroll prior to the 1st of the following month
  • Creates electronic personnel files and benefit files and files new hire paperwork accordingly once reviewed.
  • Ensure regulatory aspects of the full cycle recruitment process is compliant with federal and state legislation.
  • Responsible for meeting recruitment metrics.

Human Resources - 20%
  • Prepares and maintains HR and Payroll PAFs that are necessary to carry out the functions of Human Resources department.
  • Responsible for all employee photos and uploading to PayCom.
  • Keeps employee records up to date by processing employees' status changes in a timely manner.
  • Maintains electronic personnel files in compliance with applicable legal requirements.
  • Reviews and codes department invoices for HRBP signature, submits to A/P for processing and maintains copies according to department protocol.

Reception
  • Back up Receptionist and answers high volume of calls as needed and/or scheduled for cover.

Office Services
  • Cross trained in Office Services and be available as a back up to this function on an as needed basis.
  • This includes mail, FedEx, UPS, deliveries of any kind, calling for repairs etc.
  • Order flowers or gifts on behalf of the company, as requested.

Development of the Human Resources Department
  • Participates in administrative staff meetings and attends other meetings and seminars as necessary and to represent the department.
  • Assists with programs, procedures, and guidelines to help align the workforce with the strategic goals of the company.
  • Participates in developing department goals, objectives, and systems.
  • Participates on various committees to provide HR support and to monitor activities and completion of goals.
  • Assist in special projects as assigned; may include basic research projects.
  • Continuously strives to improve processes, service quality to internal and external customers.

  • Ensure conduct is consistent with all Compliance Program Policies and procedures when engaging in any activity on behalf of the company. Immediately report any concerns or violations.

Education, Knowledge, Skills and Experience

Required Education:
  • High School diploma or equivalent
  • Bachelor's Degree in business, or a related field of study preferred or, a combination of education and related professional experience.

Required Knowledge:

  • Minimum (5) years or more in a full cycle recruiting environment

Required Experience:
  • Minimum five (5) years' experience working in a fast-paced environment Human Resources Department.
  • Proven work experience as an HR Recruiter or similar role
  • Familiarity with Applicant Tracking Systems and resume databases
  • Experience with sourcing techniques
  • Experience with full cycle Affirmative Action Program

Preferred Experience:
  • Experience within a Human Resources Department
  • Previous experience in distribution or manufacturing setting.
  • Working in healthcare setting a plus.

Physical requirements

Vision, hearing, speech, movements requiring the use of wrists, hands and/or fingers. Must have the ability to view a computer screen for long periods and the ability to sit for extended periods. Must have the ability to work the hours and days required to complete the essential functions of the position, as scheduled. The employee occasionally lifts up to 20 lbs. and occasionally kneels and bends. Must have the ability to travel occasionally. Working condition include normal office setting/warehouse.

Must be able to pay close attention to detail and be able to work as a member of a team to ensure excellent customer service.
