Job Summary

We are seeking a detail-oriented and dependable Administrative Support Specialist to support daily operations across reception, scheduling, documentation management, and cross-functional administrative workflows. This role plays a key part in ensuring smooth communication between patients, providers, and internal teams while maintaining accurate records and supporting operational efficiency.

The ideal candidate is organized, customer-service focused, and able to manage multiple responsibilities in a fast-paced healthcare environment. This is a full-time in-person position, Monday-Friday, located in Augusta, ME. The hours for this position are 8:00 am -5:00 pm.

Key Responsibilities
  • Answer and route incoming phone calls professionally and efficiently
  • Support reception line coverage and patient communication
  • Respond promptly to patient, provider, and internal inquiries
  • Process and distribute faxed documents to the appropriate departments
  • Assist with obituary tracking and coordination workflows
  • Maintain accurate documentation and records within company systems
  • Assist with the coordination of weekly driver on-call schedules
  • Support internal communication related to scheduling and coverage needs

Qualifications
  • High school diploma or equivalent required; Associate degree preferred
  • 1-3 years of administrative, reception, or healthcare support experience preferred
  • Strong organizational and multitasking abilities
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office and general computer applications
  • Experience in healthcare, pharmacy, or DME environments is a plus
