The ideal candidate is organized, dependable, and comfortable managing a variety of administrative responsibilities in a fast-paced environment. You'll work closely with site leadership and cross-functional departments to support reporting, documentation, communication, scheduling, and business analysis activities.
Key Responsibilities
- Provide administrative support for departments across the wholesale distribution facility.
- Assist with reporting, document preparation, data entry, filing, and general office coordination.
- Utilize reporting tools, management reports, and spreadsheet models to support business analysis and decision-making.
- Extract, organize, and interpret data from internal systems and databases.
- Document business processes and workflows for administrative and continuous improvement initiatives.
- Identify trends and assist with projections, reporting, and budget preparation.
- Staff reception desk as needed.
- Provide phone coverage and assist with internal and external communications.
- Prepare meeting materials, coordinate schedules, and record meeting notes as needed.
- Manage mail sorting, company mailings, filing systems, and electronic document storage.
- Coordinate meetings, training sessions, conference appointments, and on-site events.
- Support data collection, reporting submissions, and recordkeeping activities.
- Maintain a clean, organized, and professional office environment.
- Perform other duties as assigned.
Required
- High school diploma or equivalent.
- Strong computer skills, including proficiency with Office365, Excel, and Word.
- Excellent organizational, communication, and customer service skills.
- Ability to manage multiple priorities while maintaining strong attention to detail.
- Previous administrative support experience in a warehouse, distribution, logistics, manufacturing, or office environment.
- Experience with reporting systems, ERP platforms, or automated phone systems.
- Ability to perform essential duties accurately and efficiently.
- Strong analytical and problem-solving skills.
- Effective communication with internal departments, customers, vendors, and leadership.
- Ability to prepare routine reports, correspondence, and business documentation.
- Strong organizational and multitasking abilities with the capacity to meet deadlines in a fast-paced environment.
- Ability to work independently while contributing positively to a collaborative team culture.
- Regularly required to sit, stand, walk, talk, hear, and use hands/fingers for computer and office equipment operation.
- May occasionally lift or move up to 25 pounds.
- No supervisory responsibilities.
- Participation in periodic training or in-service sessions may be required.
- Background check may be required.
