About the role
Position Summary

The Maintenance Planner will be responsible for managing and tracking the lifecycle of work orders from when they come in through to completion as well as work distribution. They will do walk-throughs of the facility to monitor and identify issues as well as to obtain additional information for work orders. Researching and purchasing spare and replacement parts for equipment as well as inventory management of the shop. Manage the compliance calendar and coordinate with vendors. Develop SOPs and PM procedures. Managing and entering data into CMMS and SAP systems and generating reports.

Essential Duties and Responsibilities
  • Inventory Management: Monitor stock levels for raw materials, parts, and consumables to prevent production delays. Perform regular audits and cycle counts to maintain record accuracy and reduce shrinkage.
  • Purchasing of Parts and Materials: Identify necessary components and initiate purchase orders with approved vendors. Negotiate with suppliers for competitive pricing and ensure the timely delivery of specialized equipment or tools.
  • Preventative Maintenance (PM) Procedures: Develop and implement scheduled maintenance programs for all shop machinery, vehicles, and facilities. Ensure all inspections comply with OSHA and safety regulations.
  • Work Order Assignment: Interpret job orders and specifications to assign tasks to the most qualified staff. Review completed work orders for accuracy, ensuring all repair codes and descriptions are correctly documented.
  • Project Management Assistance: Support senior management in planning facility upgrades, equipment overhauls, or new project timelines. Monitor production status and expedite high-priority orders to meet client deadlines.

Key Performance Indicators (KPIs)
  • Efficiency: Maximizing production equipment utilization while reducing downtime.
  • Quality: Ensuring all finished goods meet AWS, ASME, or AISC standards before dispatch.
  • Safety: Enforcing strict compliance with OSHA protocols and conducting regular safety drills.

Technical Systems & Software Oversight
  • SAP (ERP) Integration: Utilize SAP to manage the end-to-end manufacturing lifecycle. This includes converting sales orders into production orders, tracking Work in Progress (WIP), and managing the movement of raw materials to the shop floor.
  • CMMS Administration: Act as the primary administrator for the Computerized Maintenance Management System (CMMS). You will digitize all preventative maintenance (PM) schedules, track machine downtime, and manage the spare parts inventory to ensure 99% equipment uptime.
  • MS Office Proficiency: Use Excel for advanced data analysis on shop throughput, Outlook for vendor communication, and Word for drafting Standard Operating Procedures (SOPs).
  • Data-Driven Reporting: Generate monthly reports from SAP and the CMMS to present KPI metrics-such as "Mean Time Between Failures" (MTBF) and "Schedule Compliance"-to senior leadership.

About You
Required Qualifications
  • High School Diploma / GED or equivalent level of education required. Associate or Bachelor's degree in facilities management, business administration, or a related field preferred.
  • Must have 3-5 years of experience in an industrial maintenance environment either electromechanical or as industrial mechanic/technician. Some experience as an Industrial Maintenance Planner preferred.
  • Proven experience in facility management or a similar supervisory role.
  • Strong knowledge of building systems and industrial maintenance practices.
  • Excellent leadership, communication, and interpersonal skills.
  • Ability to troubleshoot issues and develop effective solutions.
  • Must have a good understanding of what a work order will entail (i.e. required materials and/or parts, permits, POs, etc.).
  • Must have experience and proficiency with Computerized Maintenance Management Systems (CMMS).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
  • Experience working with SAP or other ERP system.

Pay Transparency Disclosure: The expected annual salary range for this position is USD $85000.00 - USD $100000.00. Actual pay will be determined based on experience, qualifications, geographic location, and other job-related factors permitted by law. A discretionary annual bonus may be available based on individual and company performance.
