As the first point of contact for visitors, clients, and employees, the Receptionist will play an important role in maintaining a welcoming, organized, and professional office environment.
Key Responsibilities
- Greet and welcome visitors, clients, and employees in a professional and courteous manner.
- Direct visitors to the appropriate individual, meeting room, or office location.
- Maintain a clean, organized, and professional reception and common area.
- Respond to inquiries and provide accurate information in person, by phone, and via email.
- Support visitor management procedures, including issuing visitor badges, maintaining guest logs, and monitoring access through the reception desk.
- Receive, sort, and distribute incoming mail and deliveries and prepare outgoing shipments.
- Maintain calendars, seating logs, spreadsheets, and other office records as needed.
- Coordinate office lunches, meetings, and catering requests.
- Monitor office and pantry inventory and communicate or coordinate supply needs.
- Perform general administrative and clerical duties in support of office operations.
- Maintain pantry and common areas, including restocking supplies and loading/unloading the dishwasher.
- Assist with special office projects and additional administrative tasks as assigned.

Technical Skills
- Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
- Comfortable operating standard office equipment, including printers and copiers.
- Experience maintaining calendars, spreadsheets, logs, and basic office records.
Confidentiality & Compliance
- Ability to handle sensitive and confidential information with professionalism and discretion.
- Understanding of and commitment to applicable privacy and confidentiality requirements, including HIPAA compliance where relevant.
Preferred Qualifications
- Previous experience in reception, front desk operations, hospitality, customer service, or administrative support.
- Experience working in a professional corporate office environment is strongly preferred.
