This role is responsible for coordinating candidate communications, scheduling interviews, and delivering a consistent, high-quality candidate experience throughout all stages of recruitment.
Key Responsibilities:
Interview Coordination & Logistics:
- Calendar Management: Schedule complex, multi-stage interviews across multiple time zones, managing last-minute rescheduling and calendar conflicts with agility.
- Candidate Logistics: Coordinate candidate travel, lodging, and expense reimbursement processes as needed.
Recruiting Operations & ATS Management:
- Data Integrity: Open, update, and close job requisitions within the Applicant Tracking System (ATS), ensuring accurate data pipeline hygiene.
- Job Postings: Manage the external posting of open positions across career sites, university platforms, and job boards.
- Hiring Events: Provide administrative and logistical support for job fairs, campus recruiting, and community outreach events.
Candidate Experience & Collaboration:
- Communications: Act as a brand ambassador, providing timely, empathetic updates to candidates throughout the hiring lifecycle.
- Stakeholder Partnership: Partner closely with 4G Clinical's Senior Recruiter and Hiring Managers to streamline workflows and unblock bottlenecks in the hiring process.
- Compliance: Maintain confidentiality and ensure all hiring practices comply with data privacy regulations (e.g., GDPR, CCPA) and employment laws.
Requirements
- Experience: 1-3 years of experience in a recruiting coordinator, HR assistant, or fast-paced administrative support role.
- Tools: Hands-on experience with standard ATS platforms (e.g., UKG Ready, Greenhouse, Workday, Lever, Jobvite).
- Software: Proficiency with Google Workspace (Calendar, Docs, Sheets) or Microsoft Office 365.
- Time Management: Proven ability to prioritize heavy workloads and switch gears quickly in a fast-paced environment.
- Communication: Exceptional written and verbal communication skills, with a strong focus on customer service.
- Discretion: Demonstrated ability to handle sensitive and confidential information with strict professionalism.
Preferred Qualifications
- Prior experience working in an HR or recruiting environment.
- Experience supporting high-volume hiring or working within a fast-scaling organization.
- Basic familiarity with recruiting compliance and best practices.
Education
- Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent practical work experience.
