We are seeking a highly organized and proactive Site/Office Manager to oversee daily office operations and ensure a secure, efficient, and well-maintained work environment. This role serves as the central coordination point for administrative support, vendor management, facilities operations, and office logistics.

Position Overview
We are seeking a highly organized and proactive Site/Office Manager to oversee daily office operations and ensure a secure, efficient, and well-maintained work environment. This role serves as the central coordination point for administrative support, vendor management, facilities operations, and office logistics.
Key Responsibilities
Office & Facility Operations
- Maintain an efficient, clean, and fully functional office environment
- Coordinate repair and maintenance of office equipment
- Oversee office supplies, materials, and inventory to ensure continuous operations
- Supervise cleaning staff schedules and adjust as needed
Visitor & Security Coordination
- Receive and manage incoming visitors (cleared and uncleared)
- Maintain guest/visitor lists and coordinate with Security
- Coordinate all site/vendor activities with Security requirements
Vendor & Logistics Management
- Coordinate and supervise external vendors working onsite
- Manage incoming deliveries (UPS, FedEx, USPS, subscriptions, internal logistics)
- Oversee and shadow vendor work to ensure compliance and quality
Administrative Support
- Maintain calendars for managers and leadership
- Provide general administrative support including:
- Scheduling
- Document preparation, sorting, and filing
- Presentation support
Mail, Finance & Documentation
- Process incoming mail and invoices for finance system entry
- Organize and maintain documentation for record keeping and audit purposes
Events & Meeting Coordination
- Facilitate meetings and events requiring logistics support
- Coordinate catering, deliveries, and event setup/teardown
- Plan and organize seasonal and professional office events (meetings, off-sites)
Additional Duties
- Support after-hours call list coordination as needed
- Provide general operational and administrative support across the site
Required Skills
- Active Top Secret/SCI with Polygraph
- Strong organizational and multitasking abilities
- Experience in office management, facilities coordination, or administrative operations
- Ability to manage vendors and coordinate with security teams
- Excellent communication and interpersonal skills
- Experience with calendar management and office systems
- Attention to detail with strong documentation and record keeping skills
Desired Skills
- Experience supporting secure or government environments
- Familiarity with finance systems (invoice processing)
- Event planning or coordination experience
