We're looking for a highly organized, people-first HR & Office Assistant to be the operational backbone of our Santa Clara headquarters. This role sits at the intersection of HR support and office operations - you'll be the first face visitors see, the person who keeps the office running smoothly, and a key support to our HR team as we scale.
This is an ideal role for someone early in their HR or operations career who wants broad exposure in a fast-moving medtech environment.

We're looking for a highly organized, people-first HR & Office Assistant to be the operational backbone of our Santa Clara headquarters. This role sits at the intersection of HR support and office operations - you'll be the first face visitors see, the person who keeps the office running smoothly, and a key support to our HR team as we scale.

What You'll Do
Front Desk & Office Operations
- Serve as the primary on-site receptionist - welcoming visitors, managing building access, and creating a professional first impression
- Handle incoming mail and packages, including scanning and routing checks and sending tax documents to Paylocity.
- Own office supply and snack inventory - proactively monitoring levels and placing orders to keep the office stocked
HR Support
- Provide data entry and administrative support in Paylocity (HRIS)
- Coordinate interview scheduling across hiring managers and candidates, ensuring a smooth candidate experience
- Assist with maintaining the Employee Handbook and other HR compliance related tasks
Field Sales Credentialing
- Coordinate with reps and hospital credentialing offices to resolve outstanding requirements and minimize time-to-access delays
Events & Culture
- Assist with planning and execution of company events, including Town Hall meetings, team gatherings, and milestone celebrations
- Assist with planning and execution of senior leadership events (offsites)
- Support facilities coordination as needed across our office locations
What We're Looking For
- An adaptable, proactive problem solver with 1-2 years of administrative, office operations, or HR support experience
- Strong organizational skills and attention to detail - you follow through and nothing falls through the cracks
- Warm, professional communication style; comfortable being the first point of contact
- Proficiency with Microsoft Office/M365; experience with an HRIS (Paylocity a plus) is a bonus
- Discretion with confidential information - HR handles sensitive data and you'll treat it accordingly
Salary Range
$22 - $26 per hour
