The College of Law is seeking (1) Event Planner II to join the already awesome team taking the Department to the next level of excellence!

The Events Planner s upports the College of Law departments, centers, students, faculty and staff for planning and promoting internal events. This position reports to the Associate Director of the Conference Center.

Please be advised, the hours for this position are listed as Tuesday - Saturday, 8:30am - 5:15pm

HERE IS WHAT YOU WILL DO

  • Interact consistently with COL faculty, staff, students, guests, event attendees, facilities staff, vendors, and catering staff. Position may advise and counsel COL marketing management, event management, students, and event attendees.

  • Position may have flexible hours to accommodate evening and weekend events, as needed.
  • Schedule will be Tuesday - Saturday, 8:30am - 5:15pm

  • Physical requirements to include standing/walking/bending for extended periods of time, and the ability to lift up to 50 lbs.

  • Perform administrative support duties as needed, and provide prompt and informed responses to customer inquiries.

  • Skills in event management, customer service, organizing, planning, and scheduling.

  • Services provided include event consultation and planning, arranging for technology support, coordinating food arrangements and attendee assistance. Events managed range in size and complexity from small meetings to large-scale building-wide events.

  • Establish and maintain a good relationship with students, faculty, staff, vendors, etc.

Event Planning

  • Support event planning, coordination, and preparation to include space reservations, catering orders, assist in registration process, promotional material distribution, etc.

  • Assist with developing event programs and agendas.

  • Event setup and breakdown, including resetting event spaces in between events and last-minute additions/changes to accommodate clients' needs. This includes tables, chairs, step-and-repeat banners, and other equipment as assigned.

  • Ensure adherence to planned format/setup, compliance with regulations, cooperation between vendors, and overall satisfaction of participants and sponsors. Maintain strong knowledge of various types of setups and the compatibilities of spaces.

  • Ensure all meeting spaces and rooms are kept in a clean and orderly manner.

  • Pre-event walk-throughs and post-event follow-ups to determine adequacy of services provided in support of the event.

  • Do final checks on event day to ensure that everything (furniture, technology, etc.) meets the standards of the College and the event organizers.

  • Oversee event happenings and act quickly to resolve problems.

  • Position may include invoicing and payment processing.

  • Manage various event budgets.

  • Provide tours for potential clients.

  • Provide regular updates to Conference Center staff on upcoming events.

  • Coordinate logistics for internal College of Law events for student organizations and College of Law educational centers.

  • Coordinate administrative support and event management services within the College.

  • Knowledge of AV systems and troubleshooting when the AV Engineer is unavailable.

Qualifications:

Minimum Hiring Qualifications:

Bachelor's degree and three years of related experience; or a combination of education and related experience.

Preferred Hiring Qualifications:

  • Event planning experience and certifications

  • Effective oral and written communication skills

  • Experience with various event registration and management platforms (25Live, EMS, Momentus, CVENT, etc)
  • Experience or knowledge of managing large catering orders

  • Experience working in a higher education setting

  • Knowledge of event planning practices, procedures, and operations

  • Ability to develop or update materials using Microsoft Office products (Word, Excel, etc)

  • Effective time management and organizational skills

  • Ability to manage multiple priorities, attention to detail, and excellent customer services
