Position Description

The Software Asset Management (SAM) Analyst position independently manages software licensing activities for assigned publishers, including license acquisition, compliance reviews, usage analysis and reconciliation, and renewal support. This role evaluates licensing agreements, software usage trends, and internal customer requirements to develop optimization recommendations, strengthen audit readiness, and help Applied Medical maximize the value of its software investments.

Key Responsibilities

• Evaluate internal customer requirements, software usage data, and quantity needs to develop licensing proposals and recommendations.
• Analyze software licensing agreements, enterprise agreements, and vendor contracts for compliance, entitlement accuracy, and optimization opportunities.
• Identify underused licenses and recommend harvesting, reassignment, downgrade, or alternative licensing models to improve utilization and reduce cost.
• Review and manage software requests, clarify requirements, and coordinate with Purchasing, Information Security, and technical teams to support proper license purchase, approval, receipt, and deployment.
• Perform ongoing software license reconciliation for assigned publishers and troubleshoot moderately complex licensing issues independently.
• Maintain and enhance the SAM repository, dashboards, reports, configurations, entitlement records, and key licensing metrics.
• Conduct software compliance reviews, true-ups, and audit-readiness activities; prepare detailed compliance reports, supporting documentation, and renewal analyses.
• Serve as a point of contact for vendor account representatives regarding order details, entitlement questions, and portal access.
• Manage assigned cross-team SAM project tasks and deliverables, provide guidance to newer analysts.

Success in This Role Looks Like

• Maintains accurate license positions and clearly documents entitlements, deployments, consumption, and compliance risk for assigned publishers.
• Identifies actionable opportunities to harvest, reassign, downgrade, or optimize licenses and supports measurable cost avoidance.
• Delivers timely, defensible compliance and renewal analyses that support informed purchasing and negotiation decisions.
• Keeps SAM data, dashboards, reports, and supporting documentation complete, current, and audit ready.
• Builds effective partnerships with internal customers, Purchasing, Information Security, ATS teams, and software vendors.
• Resolves licensing issues with sound judgment, communicates findings clearly, and escalates higher-risk matters appropriately.

Position Requirements

This Position Requires the Following Skills and Attributes

• Bachelor's degree in information technology, computer science, or a related field, or equivalent relevant work experience.
• At least three years of IT experience, including a minimum of two years in IT Asset Management (ITAM) and Software Asset Management (SAM).
• Strong understanding of Microsoft licensing models, licensing research methods, enterprise software agreements, and software license management practices.
• Proficiency with software license management tools, software discovery tools, structured data collection methods, and advanced Microsoft Office skills, particularly Excel (e.g., Pivot tables, VLOOKUP and IF functions), and proficiency with other Microsoft Office tools and Visio.
• Strong analytical, organizational, and problem-solving skills, with consistent attention to detail and effective task tracking.
• Proven ability to organize and prioritize work independently, adjust to changing business needs, and complete accurate work on time.
• Strong written and verbal communication skills and the ability to collaborate effectively with internal partners, customers, technical teams, and vendors.

Preferred

The Following Skills and Attributes Are Preferred

• Experience in related fields of Hardware Asset Management, Service Desk, or IT procurement environments is a plus.
• Substantive knowledge of additional major software vendors (e.g., SAP, Autodesk)
• Proficiency with SAM tools (e.g., Flexera, SAM Pro, etc.) and IT Service Management (ServiceNow)
• Relevant industry certification from IAITAM, such as CSAM or CITAM
• Experience improving SAM processes, dashboards, reporting, repository configurations, or procurement and deployment workflows
• Ability to guide junior analysts and coordinate cross-functional project tasks and deliverables
