Job Description

  • Position Summary

    • The Business Operations Coordinator maintains accuracy and efficiency of all office procedures to assist in managing the daily activities while supporting the administrative (directors & managers) and clinical co-workers within the department of Physical & Occupational Therapy - handles highly confidential matters. The Operations Coordinator assist in managing appointments, interviews and staff meetings for the Directors. The Operations Coordinator is responsible for managing accounts payable processes, assisting in the payroll process, supply orders, records requests, and other assigned duties by the Director. The Operations Coordinator will pro-actively provide excellent internal and external customer service and maintains a working knowledge of industry standards to promote therapy services in the community. The Operations Coordinator performs and trains office staff in registration, scheduling, payroll and point of service collections - available to multiple therapy facilities for consultation. Additional duties will include but are not limited to processing information related to the requirements for patients and employees' records. This position requires accurately collecting and reporting of operational/financial data to different entities to ensure timely, quality services in accordance with contractual agreements, federal/local regulations, hospital policies, procedures and professional standards as applicable to therapy operations.

    • Associate's Degree - Preferred

    • 3-5 Years Customer Service/Administrative Assistant - Required
  • License & Certification

    • None Required
  • Core Job Functions

    • Assists with purchase orders, invoice management and bill payment.
    • Maintains financial statements and statistical information. Assists with compiling financial information for various departments for consultants and outside agencies.
    • Establishes and maintains file systems. Creates, copies, scans or faxes documents as required. May distribute mail to appropriate staff.
    • Maintains calendar and appointments for Director. Assists with departmental meetings and presentations. Facilitates communication to staff timely via appropriate delivery method.
    • Compiles and submits monthly operational reports. Assists with preparation and review of budget, as well as variance information and justifications on divisional finance report.
    • Assists with the day to day operations and compliance of all inpatient and outpatient physical and occupational therapy departments.
